2. DEVICE PERMISSIONS

Accentify may request access to certain features of your device where required for functionality.

Camera access may be requested where a feature allows you to take a profile image or otherwise use camera-based functionality.

Notifications

Notification permission allows Accentify to send learning reminders, account or service information, progress-related notifications and other permitted notifications.

You can control these permissions through your device settings. Refusing or disabling a permission may prevent the relevant Accentify feature from working, but permissions unrelated to a feature are not required simply to maintain an account.

Accentify does not request precise GPS location permission as part of its normal functionality.

3. HOW DO WE USE YOUR INFORMATION?

We may use personal information for the following purposes:

  • Account creation and authentication. To create, authenticate, secure and maintain your Accentify account.

4. WHAT LEGAL BASES DO WE RELY ON?

Where the UK GDPR or EU GDPR applies, we rely on one or more of the following lawful bases.

Performance of a contract

We process information where necessary to provide the Services you request from us or to take steps at your request before entering into a contract.

This includes processing necessary to:

  • create and maintain your account;

  • maintain learning progress;

  • provide lessons and features;

  • process recordings to provide requested accent and pronunciation analysis;

  • generate feedback;

  • provide coaching features; and

  • administer paid features and subscriptions.

Legitimate interests

We may process personal information where necessary for our legitimate business interests, provided those interests are not overridden by your rights and freedoms.

Our legitimate interests include:

  • operating and improving Accentify;

  • improving the accuracy, usefulness and reliability of our learning and coaching features;

  • developing, training, testing and improving our machine-learning and AI systems;

  • analysing how users interact with Accentify;

  • diagnosing technical problems;

  • maintaining security;

  • detecting and preventing fraud and abuse;

  • providing and improving customer support; and

  • measuring and improving the effectiveness of our Services and business operations.

Where we rely on legitimate interests, we consider the nature of the information, the purpose and necessity of the processing, the reasonable expectations of users and the potential effect on their rights.

Consent

We rely on consent where applicable law specifically requires us to obtain it, such as for certain optional marketing communications, cookies or similar technologies, or other optional processing for which we specifically ask for your agreement.

Where we rely on consent, you may withdraw that consent at any time.

Where consent is relied upon for an online service offered directly to a child and applicable law requires parental authorisation, we will not carry out that consent-based processing unless the required authorisation has been obtained.

Legal obligations

We may process information where necessary to comply with legal or regulatory obligations, respond to lawful requests from authorities, maintain records required by law, or establish, exercise or defend legal claims.

5. HOW DO WE USE VOICE RECORDINGS AND AI?

Voice is central to Accentify's learning experience.

When you submit a voice recording, Accentify may process it through systems that perform functions such as:

  • audio preprocessing and noise reduction;

  • speech feature extraction;

  • pronunciation analysis;

  • accent classification;

  • accent scoring;

  • AI feedback generation; and

  • quality evaluation.

Accentify's machine-learning systems may generate a score or probability indicating how closely speech matches a target accent or particular pronunciation characteristics.

We may also use eligible recordings and associated information to develop, train, test and improve Accentify's machine-learning and AI systems. This helps us improve the accuracy and quality of future accent detection, pronunciation analysis and coaching.

Our AI infrastructure may use a combination of Accentify-operated systems, cloud infrastructure, speech-processing models and third-party AI service providers.

Where a third-party AI or speech-processing provider is used, we limit the information shared to what is reasonably necessary for the relevant feature or processing purpose.

We do not use voice recordings for advertising creatives or marketing content without separate permission.

We do not use voice recordings to uniquely identify or authenticate users.

Objecting to AI-development processing

Where we rely on legitimate interests to use your personal information for AI development or product improvement, you may object to that processing by contacting us at whatsup@accentify.co.uk.

We will consider objections in accordance with applicable data-protection law.

6. WHEN AND WITH WHOM DO WE SHARE PERSONAL INFORMATION?

We share personal information only where reasonably necessary for the purposes described in this Privacy Notice, where you request a feature involving another party, or where required or permitted by law.

Depending on the relevant service, recipients may include the following.

These include services such as:

  • AppsFlyer; and

  • Meta.

Information used for these purposes may include device or app identifiers, IP address, operating-system information, app events, purchase or subscription events and campaign-attribution information.

Purchases and subscriptions may involve:

  • Apple;

  • RevenueCat.

These providers may process transaction, subscription and entitlement information in connection with purchases.

Accentify does not receive users' full payment-card numbers.

Customer-support providers

We use customer-support services, including Intercom, to help manage support requests and communications.

AI and speech-processing providers

We use AI and speech-processing infrastructure and services to provide Accentify's voice-analysis and feedback functionality. Our documented AI architecture includes Accentify-hosted systems and third-party AI services used in the feedback pipeline, including xAI/Grok where used for AI feedback generation.

The information provided to an AI service depends on the feature being used. We aim to provide only the information reasonably necessary for the requested processing.

Professional accent coaches

If you choose to submit a recording for professional human feedback, hire a coach, or otherwise use a coaching feature, relevant recordings and information may be shared with the approved professional providing that service.

Legal and professional requirements

We may disclose personal information to courts, regulators, law-enforcement bodies, professional advisers or other parties where reasonably necessary to:

  • comply with law or legal process;

  • respond to lawful regulatory requests;

  • investigate fraud or security incidents;

  • protect our rights or the rights and safety of others; or

  • establish, exercise or defend legal claims.

Business transactions

If Accentify is involved in a merger, investment, financing, acquisition, restructuring, sale of assets or similar business transaction, relevant information may be disclosed to parties involved in that transaction, subject to appropriate safeguards.

7. COOKIES, ANALYTICS AND OTHER TRACKING TECHNOLOGIES

Our website and mobile applications may use cookies, software development kits (SDKs), pixels, local storage and similar technologies.

These technologies may be used for purposes including:

  • keeping our Services functioning securely;

  • remembering preferences;

  • understanding product usage;

  • analytics;

  • diagnosing errors;

Our mobile app uses services including Firebase, AppsFlyer and PostHog for analytics and attribution purposes.

You can manage website cookies using the controls provided on our website and your browser settings. Device-level advertising and tracking choices may also be available through your mobile operating system.

Please refer to our Cookie Notice for further information about cookies and similar technologies used on our website.

8. INTERNATIONAL TRANSFERS

Accentify is based in the United Kingdom, but some of our service providers and technology partners operate internationally.

As a result, personal information may in some circumstances be processed in countries outside the United Kingdom or the European Economic Area.

Where a transfer is subject to international data-transfer restrictions, we take steps required by applicable data-protection law to protect the information.

Depending on the destination and provider, this may include relying on:

  • applicable adequacy regulations;

  • the UK Extension to the EU-US Data Privacy Framework where applicable;

  • the UK International Data Transfer Agreement;

  • the UK Addendum to approved EU Standard Contractual Clauses; or

  • another lawful transfer safeguard or mechanism.

You may contact us at whatsup@accentify.co.uk if you would like further information about safeguards applicable to a particular transfer.

9. HOW LONG DO WE KEEP YOUR INFORMATION?

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Notice, unless a longer period is required or permitted by law.

The period for which information is retained depends on factors including:

  • whether you continue to have an Accentify account;

  • whether the information is needed to provide a feature;

  • whether the information remains reasonably necessary for product or AI development;

  • legal, accounting or regulatory requirements;

  • security and fraud-prevention needs; and

  • the need to resolve disputes or establish, exercise or defend legal claims.

Account and learning information will generally be retained while your account remains active and for only as long afterwards as reasonably necessary for an applicable permitted purpose.

Voice recordings and account-linked training information will not be retained solely because they have previously been used to improve Accentify after the associated account is deleted.

Account deletion

You can permanently delete your Accentify account using the Delete Account feature within the Accentify app.

When you delete your account, we will delete your account and associated personal information under our control from our active systems, including:

  • profile information;

  • learning progress and account activity;

  • account and authentication data;

  • raw voice recordings; and

  • account-linked AI training data.

We will also take appropriate steps in relation to account-linked personal information held by service providers acting on our behalf.

We may retain limited information where this is required or permitted by law or reasonably necessary for purposes such as:

  • legal or regulatory compliance;

  • required financial or transaction records;

  • fraud prevention;

  • dispute resolution; or

  • establishing, exercising or defending legal claims.

Backups and recovery copies

If personal information exists in backup or disaster-recovery systems when an account is deleted, it may not always be technically possible to remove that information immediately.

Where this applies, the information will be kept securely, put beyond normal use and deleted or overwritten when the relevant backup or recovery copy expires or is replaced.

App-store and payment-provider records

Apple, Google, Stripe and other payment providers may independently retain transaction or payment records in accordance with their own legal obligations and privacy policies.

Deleting an Accentify account does not necessarily cancel an active subscription billed by a third party. Subscription cancellation may need to be completed through the relevant app store or payment provider.

Deleting your account outside the app

If you no longer have access to the Accentify app, you may request account deletion at:

https://www.accentify.co.uk/data-deletion

10. HOW DO WE KEEP YOUR INFORMATION SAFE?

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or misuse.

These measures may include access controls, authentication controls, secure communication protocols, restricted infrastructure access, monitoring and other security measures appropriate to the nature of the information being processed.

No internet transmission, mobile application, cloud platform or information-storage system can be guaranteed to be completely secure. You should therefore also take appropriate steps to protect your own account credentials and devices.

11. WHAT ARE YOUR PRIVACY RIGHTS?

Depending on where you live and the law that applies, you may have rights in relation to your personal information.

These may include the right to:

  • request access to personal information we hold about you;

  • request correction of inaccurate or incomplete information;

  • request deletion of your personal information;

  • request restriction of processing;

  • object to certain processing;

  • receive certain personal information in a portable format;

  • withdraw consent where processing is based on consent; and

  • lodge a complaint with a data-protection authority.

We will consider and respond to requests in accordance with applicable law.

Your right to object

Where we process your personal information on the basis of legitimate interests, you may have the right to object to that processing.

This includes the ability to object to certain uses of your information for AI development or product improvement.

If you object, we will consider your request and stop the relevant processing where required by law, unless we have compelling legitimate grounds to continue or the processing is necessary for the establishment, exercise or defence of legal claims.

You have an absolute right to object to personal information being used for direct marketing.

Withdrawing consent

Where we rely on consent, you may withdraw that consent at any time.

Withdrawal does not affect the lawfulness of processing that took place before consent was withdrawn or processing carried out under another lawful basis.

Marketing communications

You may unsubscribe from marketing emails by using the unsubscribe link contained in the relevant message or by contacting us.

We may continue to send non-marketing communications that are necessary for account administration, security, purchase information, support or operation of the Services.

Complaints

If you are in the United Kingdom and believe your personal information has been processed unlawfully, you may complain to the Information Commissioner's Office (ICO).

If you are located in the EEA, Switzerland or another jurisdiction with a competent data-protection regulator, you may also have the right to complain to the relevant supervisory authority.

12. AUTOMATED ANALYSIS AND DECISION-MAKING

Accentify uses automated systems to analyse speech and generate educational outputs such as:

  • accent classifications;

  • accent or pronunciation scores;

  • speech analysis; and

  • AI-generated coaching or pronunciation feedback.

These outputs are designed to support learning and coaching.

Accentify does not use these automated accent-analysis systems to make decisions about users that produce legal effects or similarly significant effects, such as decisions concerning employment, credit, insurance, access to essential services or legal rights.

13. CHILDREN'S PRIVACY

Accentify is an educational service that may be accessed by children. We take the privacy, rights and best interests of children into account when designing and operating our Services and when processing personal information.

We seek to collect and use only the personal information reasonably necessary to provide and improve Accentify's learning, speech-analysis and coaching features.

Accentify does not request precise GPS location as part of its normal functionality, and we do not use voice recordings to uniquely identify or authenticate users.

Our automated accent and pronunciation analysis is used to provide educational feedback and learning features. We do not use these systems to make decisions about children that produce legal or similarly significant effects.

Where we rely on legitimate interests to process personal information relating to children, we give additional weight to their rights, interests and reasonable expectations when assessing whether that processing is appropriate.

Where applicable law requires parental authorisation before we can rely on a child's consent, we will not carry out that consent-based processing unless the required authorisation has been obtained.

A parent, guardian or child may contact us at whatsup@accentify.co.uk with questions about children's privacy or to exercise applicable data-protection rights.

14. CHANGES TO THIS PRIVACY NOTICE

We may update this Privacy Notice from time to time to reflect changes to Accentify, our technology, our data practices, our service providers or applicable law.

When we make changes, we will update the "Last updated" date at the top of this Privacy Notice.

Where changes are material, we may also provide notice through the Services, by email or through another appropriate method.
